OHS training is one of those obligations that companies tend to remember only when an inspection is due or a new employee is hired. Two questions come up most often: how frequently must it be repeated and how much does it cost? Below, we have compiled the deadlines for each job category and prices from training companies’ price lists, making it easy to calculate the budget for the whole team.

How often must OHS training be repeated?

Refresher OHS training must be repeated at intervals that depend on the job category: administrative and office workers at least every 6 years, manual workers every 3 years, and employees performing particularly hazardous work every year. Employers, managers, engineering and technical staff, and OHS personnel repeat the training every 5 years. These intervals are set out in the regulation on occupational health and safety training.

The first refresher training session usually takes place within 12 months of starting work in a given position, with subsequent sessions held at the intervals shown in the table. The price usually includes the training itself, materials and a certificate of completion. Risk assessments, accident documentation, fire safety training and first-aid training are not included and are charged separately by training companies. How much does OHS training for an employer cost?

Refresher OHS training for employers and managers costs around 120 PLN/person per person, roughly the same as training for office workers. However, the programme is longer because it covers work organisation, risk assessment and managers’ responsibilities. The owner of a small business that employs staff must also complete this training.

A separate matter is the course for an employer who wants to perform the duties of the OHS service personally in a small company. This is a different type of training and we do not have its prices in the index.

How long does OHS training take?

Under the framework programme, refresher OHS training for administrative and office workers lasts at least 8 teaching hours, as does training for manual workers. Training for employers, managers, and engineering and technical staff lasts at least 16 teaching hours. Online training can usually be spread over several days and ends with a test.

Induction training consists of two parts:

  1. General instruction, at least 3 teaching hours, completed before the employee is allowed to start work. It covers the company’s basic regulations and rules.
  2. Job-specific instruction, delivered for the particular position. It usually lasts at least 3 hours for office positions and at least 8 hours for manual positions.
  3. Confirmation in the employee records. The employee signs an induction training record, which is placed in their personnel file.

OHS training: how long is the certificate valid?

A refresher OHS training certificate is valid until the next training deadline for the relevant job category, which is 6 years for office workers, 5 years for managers and 3 years for manual workers. Induction training does not have an expiry date in the same sense: it is completed once, when an employee is hired or transferred to another position.

When changing employers, a current refresher training certificate is usually sufficient if the new job falls within the same job category. It is therefore worth keeping a copy of the certificate, as it saves the new employer time and money.

Online or classroom OHS training: which should you choose?

Online OHS training is cheaper and more convenient because employees complete it at their own pace and the company does not need to arrange a training room. The cheapest online refresher courses start at 59 PLN/person per person. Classroom training with an instructor costs more, up to 150 PLN/person, but is better suited to workplaces where demonstrations and practical exercises matter, such as manufacturing sites and construction sites.

When choosing the format, consider three things:

  • Job category. The course must cover the correct category because programmes for office workers, manual workers and managers differ.
  • Certificate. Ask whether it is issued by an organisation authorised to provide training and whether you will receive it immediately after the test.
  • Group discount. Training companies offer discounts for groups of several or more participants, so arranging one session for everyone can save money.

How much does OHS training cost for an entire company?

Refresher OHS training for 10 office workers costs around PLN 1,200 based on the median (typically PLN 900 ‑ 1,400), while training for 20 people costs around PLN 2,400. Training companies often reduce the price for larger groups, so the actual bill may be lower.

When budgeting for a new employee, it is worth adding occupational health examination, which usually costs PLN 125 ‑ 250. The employer pays both costs, and both requirements must be completed before the employee is allowed to start work. How can you avoid overpaying for OHS training?

  1. Make a schedule. Record when each employee last completed refresher training so that no one is trained earlier than necessary.
  2. Combine groups. A single session for several people usually means a lower price per person.
  3. Choose online training where sufficient. An online course fully meets the requirements for office workers and costs less.
  4. Ask about a package. Some training companies combine OHS, fire safety and first-aid training, which can be cheaper than three separate services.
