Cash register servicing is one of those obligations that business owners only remember when the register displays a warning about the approaching deadline. Service providers charge widely varying prices, while their price lists mix net and gross rates, promotions for new customers and call-out fees. We have collected prices from public price lists and clarified the deadlines.
Cash register servicing: how often is it required?
A cash register must be serviced every 24 months, or every 2 years. The period is counted from the date a new register is fiscalised or from the previous service, and the date can be found in the cash register service book and on the confirmation issued by the service provider. Many registers display or print a reminder when the deadline is approaching.
How often does a cash register need servicing in 2026? As in previous years: every 2 years. This rule did not change with the introduction of online cash registers, although servicing an online register is slightly different because the service provider can access some of its data remotely.
How much does cash register servicing cost?

The cheapest service providers quote prices from PLN 95 net (excl. VAT), while the most expensive charge up to PLN 400 gross (incl. VAT). Median and typical range from public price lists, as at 5 October 2026. Each price includes a source and quotation on the service page.
Calculated per month, servicing costs a fraction of the monthly cost of accounting for a sole proprietorship, whose median is 260 PLN/month. Even so, it is worth comparing offers because the difference between the cheapest and most expensive service providers is severalfold.
What affects the price of cash register servicing?
According to service price lists, the price of cash register servicing depends mainly on three factors:
- Region. Servicing usually costs more in large cities than in smaller localities.
- Whether you are a new customer. Service providers attract new customers with promotional rates, while existing customers pay according to the standard price list.
- How the service is performed. Having the register serviced at the provider’s premises is the cheapest option. A technician’s visit or collection of the register by courier (door to door) may be included, but is often charged separately.
We do not yet have local medians for individual cities, so compare an offer from Warsaw or Kraków with the national median of PLN 248.46.
Is cash register servicing mandatory?
A technical inspection of a cash register is mandatory for every taxpayer who records sales using a cash register, regardless of whether it uses a paper copy, an electronic copy or is an online model. This obligation arises from the VAT Act and regulations governing cash registers. The inspection may only be performed by a technician authorised by the manufacturer of the particular register, so you cannot do it yourself.
Overdue cash register servicing: what are the consequences?
An overdue cash register must be serviced as soon as possible because missing the deadline is a breach of the taxpayer’s obligations and may result in a penalty under fiscal criminal law. The service itself then costs the usual amount, approximately PLN 248.46. The amount of any penalty depends on the circumstances, so we do not provide a figure. If you have already missed the deadline, speak to an accountant or tax adviser about filing a voluntary disclosure; the cost of such advice is covered in our article tax adviser: price list.
Suspending business activity is a separate issue. A suspension does not always remove the servicing deadline, and the rules depend on whether the register is used during that period. Before suspending your business, ask your service provider or accountant what to do with the register.
How long does cash register servicing take?
Cash register servicing usually takes between several minutes and an hour if the technician visits your premises or you take the register to the service provider. If it is sent by courier (door to door), the register will be returned after a few days, so it is worth scheduling the service for a quieter period or having a second register available. After the service, the technician records it in the cash register service book.
What does cash register servicing involve, step by step?
Cash register servicing is a legally required check of the device’s technical condition and usually costs PLN 246 ‑ 275. The technician performs several tasks:
- Checks the seals and cash register casing for signs that anyone has tampered with the device.
- Checks the fiscal memory and printouts, including whether the receipt details are correct.
- Checks the power supply, printer and customer display, which must be clearly visible to the buyer.
- For an online cash register, checks the connection to the system that receives data from registers.
- Records the service in the cash register service book and issues confirmation showing the date from which the next 24-month period is counted.
If the technician finds a fault, the repair is charged separately and is not included in the service price. It is worth requesting a quote before the work begins.
Online cash register servicing: how often and does it cost more?
An online cash register must be serviced every 2 years, just like older registers with paper or electronic copies. Service price lists do not clearly distinguish between online registers and older models, so the same median of PLN 248.46 serves as the reference point. An online cash register sends data automatically, but this does not remove the requirement for a technician to physically inspect the device.
The servicing requirement also applies to fiscal printers used with sales software. If you have both a cash register and a fiscal printer at your premises, you will need two inspections costing approximately PLN 500 in total.
How can you avoid overpaying for cash register servicing?
- Ask for both the net and gross price. Service providers quote both, and the difference is significant.
- Check whether the call-out fee is included. A service priced at PLN 95 with a separate call-out fee may cost more than PLN 248.46 with the call-out included.
- Have several cash registers serviced at once. Two registers cost approximately PLN 500, and service providers often offer a discount for several devices.
- Add the deadline to your calendar one month before the end of the 24-month period to give yourself time to compare offers.
- Do not change service providers at the last minute. The new service provider must be authorised to work on your cash register model.
