You cannot compare full accounting services using a single figure from an accountancy firm’s advert. A package advertised as starting ‘from’ a given price usually covers only a few or a dozen documents, and a company with employees, imports and leases will quickly exceed that threshold. What is full accounting and who does it apply to?

Full accounting means maintaining accounting books in accordance with the Accounting Act, including a chart of accounts, double-entry bookkeeping, stocktaking and annual financial statements. It is mandatory for companies with share capital (limited liability companies and joint-stock companies), limited partnerships and foundations engaged in business activity, as well as partnerships and sole proprietorships that exceed the statutory revenue threshold.

At what amount does full accounting become mandatory? The revenue threshold is defined in the Accounting Act as the equivalent of an amount in euros and converted into PLN each year. It is best to confirm the current threshold for the relevant year with an accountant or tax adviser, because exceeding it means changing the accounting method from the following year.

Full accounting or KPiR: what is the difference in cost?

Full accounting costs considerably more than simplified accounting for a sole proprietorship. This price usually includes maintaining the KPiR or lump-sum revenue records, current tax settlements and representation before the tax office and ZUS.

The price increases with the number of invoices, active VAT taxpayer status and the employment of staff. An annual PIT tax return may be charged separately. If a sole proprietorship exceeds the statutory revenue threshold and must switch to full accounting, its monthly service cost approaches the rates charged to companies, namely 660 ‑ 865 PLN/month. If your revenue is growing quickly, it is therefore worth asking the firm in advance how much its services will cost after the change.

Can you manage the accounts of a sole proprietorship yourself? Under the lump-sum tax scheme or KPiR, yes. Many people do this using invoicing software or online services. Full accounting is not usually managed independently because it requires knowledge of the Accounting Act and the chart of accounts.

What is not included in the monthly full accounting price?

The monthly full accounting fee usually does not include annual financial statements and closing the financial year, tax advice or audits. Firms price these services separately, so it is worth asking about the cost of preparing the financial statements before signing a contract.

Additional charges may apply for:

  • financial statements and the annual CIT return,
  • amended tax returns required because of the client’s actions, for example when invoices are submitted late,
  • representation during a tax or ZUS inspection,

Full accounting online: is it cheaper?

Online full accounting can be cheaper because the firm does not maintain customer service offices, while documents are sent through an app or by e-mail. The cheapest online packages start around the lower end of our range, namely 450 PLN/month. The price difference decreases as the number of documents rises because the accountant’s workload remains the same.

When choosing an online firm, check who your dedicated contact will be, whether the firm has professional indemnity insurance and the deadline for submitting documents for each month.

How can you avoid overpaying for full accounting?

  • Count the documents from the past three months and ask for a price based on that number, rather than an advertised ‘from’ package.
  • Check the price of the annual financial statements before signing the contract. This is the largest additional charge outside the monthly fee.
  • Ask about charges for documents exceeding the package limit and for documents submitted late.
  • Compare the total cost including employees: the package plus hR and payroll services for everyone.
  • Check the scope of the firm’s liability in the contract and its professional indemnity insurance policy.
