A certified translation is required whenever an authority, court or university needs to accept a document in a foreign language, such as when registering an imported vehicle, having a qualification recognised, marrying a foreign national or handling an inheritance case. Translation agency price lists look similar, but differ in how they define a page, which surcharges apply and whether the price is for a page or the entire document. We compare rates from translators’ and agencies’ price lists to make calculating the cost easy.

What are the current rates for certified translations?

Current rates for certified translations are usually PLN 40 ‑ 54 per page for widely spoken languages such as English, German, Ukrainian and French. The price depends on:

  1. Language pair. Less common languages, such as Scandinavian or Asian languages, cost more than English and German.
  2. Translation direction. Some translators charge different rates for translations into Polish and from Polish into a foreign language.
  3. Type of text. A birth certificate or school certificate has a simple, repetitive layout, while a contract or medical records require more work.
  4. Turnaround time. Express translation for the same or next day may cost more.
  5. Net or gross price. Some agencies quote prices net of VAT, which makes a difference when comparing them.

Certified translators working for courts, public prosecutors and the police are paid according to rates set by a regulation of the Minister of Justice. Private clients pay according to the translator’s or agency’s price list, which may differ from these rates.

How much does a certified translation cost in practice?

The number of pages is approximate: a one-page certificate containing many fields and seals may take up more than one chargeable page after translation because the translator also describes seals, signatures and annotations. The agency will provide an exact quote after reviewing a scan.

How much does it cost to translate 1,000 characters?

A certified translation of 1,000 characters is less than one chargeable page (1,125 characters), so you will usually pay for one full page, or about PLN 45. For a standard translation, a chargeable page is longer, usually 1,500 to 1,800 characters including spaces, and costs about PLN 50.

This creates a practical difference: at a similar price per page, a certified translation costs more per character because its page is shorter. If an authority does not require a certified translator’s seal, for example for company documents intended for internal use, standard translation (per page) will be cheaper.

What is the difference between certified and standard translation?

A certified translation differs from a standard translation because the translator certifies that it conforms to the original with a seal and signature, allowing authorities, courts and universities to accept it as an official document. A standard translation, costing about PLN 50 per chargeable page, is sufficient for correspondence, company materials and texts for personal use.

The certified translator also states whether the translation was made from the original, a copy or a scan, and describes the document’s graphic elements: seals, signatures, holograms and handwritten notes. Every translation is entered in the translator’s mandatory register. This is why even a short document costs at least one full page.

How long does a certified translation take?

A certified translation of a short document, such as a civil status certificate or vehicle registration certificate, usually takes between one and several working days. Longer texts, such as case files or medical records, are generally completed at a rate of several pages per translator per day, so the deadline must be agreed when placing the order. You must also allow time to collect or post the sealed original if the authority requires a paper version.

How much does it cost to translate a German vehicle registration certificate?

A certified translation of a German vehicle registration certificate usually costs from PLN 30 for the first part in the cheapest price lists, while the median for foreign vehicle documents is PLN 45. German documents are inexpensive because translators know their layout and often have ready-made templates.

Documents from countries where the language is less common or the form is unusual cost more. The median cost of translating one vehicle document across all price lists is PLN 150, typically PLN 110 ‑ 160, while the highest prices, up to PLN 160, apply to less common languages or are net prices with VAT added.

Is a translation required to register an imported vehicle?

To register an imported vehicle, the local transport department usually requires certified translations of documents in a foreign language, most commonly the registration certificate and sale agreement or invoice. Requirements may vary depending on the vehicle’s country of origin and the practice of the particular authority, so before ordering translations, it is worth asking your local transport department which documents need to be translated.

How can you avoid overpaying for a certified translation?

  • Send a scan to several agencies. A quote based on a scan is free and shows the actual number of pages.
  • Check whether the translator is on the official list. Certified translators are entered on a list maintained by the Minister of Justice, which can be searched by surname.
  • Ask whether you need a certified translation. Not every institution requires one, and a standard translation is cheaper per character.
  • Do not order an express service unless necessary. The standard turnaround time is usually several working days.
  • Order the full set at once. For several documents, agencies are more likely to offer a discount or package price, for example for vehicle documents.
  • Ask about the format. A translation with an electronic signature may be faster and cheaper than a paper copy sent by post, provided the authority accepts it.
